Who can order a stamp?

Stamps are ordered mainly by newly registered legal entities and sole traders, for banking, contracts, documentation and other business processes.

Depending on the nature of the activity, individual stamps may also be produced for doctors and members of other professions.

For companies we additionally produce stamps for various purposes, used in accounting, warehousing, cash operations, document handling and other internal processes.

What documents are required for a first stamp?

The following documents must be submitted for a first stamp order:

  • an extract from the state register;
  • VÖEN (tax identification) details;
  • a copy of the authorised person's identity document.

You may upload the documents on the site when placing your order. If they are not to hand at that moment, you may place and pay for your order online and submit the documents afterwards via WhatsApp or email.

Production begins once the required documents have been submitted and the order details confirmed.

What is the difference between a stamp and a seal?

A seal is an impression device which generally carries the details of a company or trader and is used in official documentation. It may carry the organisation's name, its legal form, its VÖEN and other required information.

A stamp is used mainly to speed up day-to-day document handling. "Paid", "Certified copy", a date, an address, a set of details or any other repeated information can be produced as a stamp.

The size, shape and content of a stamp are determined individually according to its intended use.

Ordering a second stamp for the same company

Two entirely identical stamps cannot be produced for one company. When a second stamp is ordered it must carry a distinguishing mark setting it apart from the primary stamp. This is one of the requirements applied when the documentation and the relevant certificate for producing a stamp are issued.

The distinguishing mark may be a number, a letter, or a short text indicating the stamp's intended use.

For example:

  • "1", "2"
  • "A", "B"
  • "For documents"
  • "Cash desk"
  • "Warehouse"
  • "For customs matters"

In practice a text indicating the stamp's purpose is more convenient. It makes it easy to distinguish what each stamp within the company is used for.

Stamp lost or no longer usable?

The procedure differs for lost stamps and for stamps that are no longer usable.

If a stamp has been lost, a certificate confirming the loss must be submitted before a replacement can be produced.

If the stamp is in your possession but is no longer usable, the old stamp is cancelled on the basis of the relevant deed and a new one is produced in its place.

The "same working day" option applies to orders placed before 12:00 for which all information and documents required for production have been submitted. This service is not available on Saturdays.
